Participant Terms & Agreements

RESPONSIBILITY AND LIABILITY: This expedition is under the management of Eagle Condor Humanitarian (ECH). ECH has made all arrangements for accommodations and services furnished in connection with this expedition. While on this expedition, ECH, as the principal, shall be responsible to the participant for supplying said services. ECH accommodations offered to the participant as set forth in the itinerary, except to the extent such services or accommodations cannot be supplied, due to delays or other such causes beyond the control of ECH. In such event, ECH will use its best efforts to supply comparable services and accommodations, but provide no refund. ECH, in the absence of negligence on its part, shall not be responsible for any delay, substitution of equipment, or any act of omission whatsoever by the air carrier or by any hotel, guesthouse, lodge, bus supplier, or any of their employees or agents, or any of the services and accommodations to participants, including any results thereof, such as a change in services or accommodations necessitated by the same. ECH shall not be liable for any death, damages or claims arising from negligence of any person not under its exclusive control.

COST All prices are quoted in U.S. dollars. They are based on tariffs, airfares, accommodation rates, and rates of exchange quoted to ECH at the time of publication. These prices are expected to be in effect at the time of departure; however, prices are subject to change without notice. ECH will make every effort to avoid price increases; however, any changes in price made by the airlines, hotels, vendors, operators, etc., with which ECH has made arrangements, may be passed on to the participants. If such rates change prior to departure, ECH is not under any obligation to pay extra expenses arising from unforeseen circumstances, such as a change of itinerary or means of transportation, etc.
APPLICATION, PAYMENTS, AND CANCELLATION: Early reservations are strongly recommended, and a deposit per person is required at the time of booking. Final documents (including airline tickets) cannot be sent until final payment is received. Checks should be made payable to Eagle Condor Humanitarian. All applications are subject to approval by ECH and the expedition leader. All cancellation penalties are the responsibility of the participant, including a minimum $500 nonrefundable deposit
Participants must be in good health to participate in any expedition and ECH strongly advises each participant to have a physical checkup before participating in any expedition. Participants are advised to bring an adequate supply of any prescription medications used by Participants. ECH is not responsible for illnesses that occur while participating in any expedition. Participants are advised that projects and sightseeing can be physically strenuous and we recommend persons who suffer from heart disease, high blood pressure, and/or any physical impairment, which could hinder them from active participation on an expedition contact the expedition leader prior to submitting an application. Participants are advised to monitor and limit physical activity according to their individual level of fitness considering each activity requirements and existing conditions such as altitude and weather.
ECH carries limited group AAD insurance for participants as supplemental group insurance to each participant’s individual insurance, which is the primary insurance in the event of any claim. ECH’s coverage does not take the place of personal insurance. ECH does not provide travel insurance for participants. Information regarding travel insurance coverage will be provided to all participants upon request and is easily purchased through private insurance or travel agencies. In the event of a claim, you are responsible to process your claim directly with your insurance company. ECH is not responsible for any loss, theft, or damage to your belongings or person which traveling or participating in any expedition.
Participants must carry a valid passport. Participants will be provided with information concerning passports, visas, and immunizations where needed, but obtaining them are the responsibility of the applicant.

We seek to provide well-located accommodations (not always in the center of the city) representative of the area, which provide typical cuisine; clean, pleasant rooms with private bathrooms and efficient management. The class of lodging is consistent with the price category of the expedition. In some rural project areas expedition participants will sleep in tents and/or other rustic encampments without permanent bathroom facilities or heating. Expedition participants should make themselves fully aware of the living conditions provided with each expedition before applying.

Single participants may request specific roommates and will be assigned roommates of the same sex only. Those seeking a private room, where available, agree to pay the increased cost to the expedition leader prior to departure.

Items of a personal nature, such as excess baggage charges; personal, trip, or baggage insurance; room service; laundry; phone calls; food or beverages not part of the group menu; nor gratuities for special services; passports; immunization fees; etc.
As a participant, I agree to abide by the following:

STANDARDS: Expedition participants are ambassadors of the United States and ECH and individual behavior should be of the highest caliber, so as to not jeopardize the good name of the group and Eagle-Condor. All participants are required to maintain ideals and standards in harmony with Christian ideals. High standards of honor, integrity, and morality (including sexual morality); graciousness in personal behavior; application of Christian ideals in everyday living; and abstinence from illegal drugs, alcohol, and tobacco are mandatory. ECH expeditions do not discriminate on the basis of race, religion, creed, gender, color, or ethnic or national origin, but all participants must maintain the ideals and standards of ECH during the entire expedition.

PRINCIPLES: While engaged as a participant in this expedition, I will observe high principles of honor, integrity, and morality, including honesty, graciousness, and consideration of others.

LAWS & POLICIES: I agree to obey and sustain the laws of the United States of America and of the host country. I agree to follow the policies of ECH as outlined in my expedition manual or explained to me by ECH leaders. When in doubt, I will err on the side of caution; and if I am unsure whether an action or activity is appropriate, I will counsel with my/our expedition leader or in-country region manager in order to avoid acting inappropriately. If I am a minor accompanying my parent or guardian, I will also respect and obey my parent or guardian.

PROPERTY: I will respect the property of others. This includes refraining from taking things that are not mine or that I do not have permission to use. If I am permitted to use the property of others, I will treat that property with appropriate care, avoiding misuse and damage, and I will return the property in a timely manner.

DRUGS, ALCOHOL & SMOKING: I do not use drugs. I will not become involved in drug abuse. This includes the possession, use or distribution of any narcotic or dangerous drug (as defined by applicable law), except as prescribed by a licensed medical practitioner. I also agree not to consume alcohol or any other intoxicating substance while on an expedition, internship, fellowship or assignment with ECH. I understand that smoking in ECH offices is not permitted, nor is it appropriate in project areas. If I must smoke, I will be discreet, away from others, and within applicable law and policies.

AMBASSADOR: I acknowledge that my actions will have an impact on ECH and its mission in eyes of citizens and public officials of the host country, even after the ECH program has concluded and I am on personal time away from ECH project areas. Accordingly, I will continue to use good judgment in my actions, abide by applicable laws, and limit consumption of alcohol so that I may maintain my mental awareness.

AGENDAS, TOLERANCE: As a humanitarian, I understand that an important part of my role is to build trust, good will and to strengthen relationships. Thus, I will not proselytize other agendas, including religious or political causes, because I recognize that this may actually undermine trust and future progress. Should I be asked about my religion or politics, I will use good judgment in the way I share beliefs or principles, and I will allow others the same privilege. I will be tolerant of different backgrounds, cultures and traditions both in the expedition group and in the communities where I serve, and I will choose not to be offended when others practice their beliefs.

RESPECT: I will respect the rights of others. I will not engage in abusive behavior, whether physically or verbally. I will not engage in conduct that might threaten or endanger the health or safety of others. I will refrain from disorderly, lewd, indecent, or obscene conduct. I will not obstruct or disrupt the privacy of others; the performance of duties by ECH personnel, or the disciplinary, administrative, or other functions of ECH.

CODE VIOLATION: I understand that violation of any part of this code of honor may be grounds for expulsion from the program, in which case, if I am in-country, I will return home early at my own expense.
Eagle Condor Humanitarian reserves the right to make changes or substitutions in the interest of the expedition in order to meet unexpected situations, such as increases in fares and lodging rates, airline failures, changes in currency rates, etc., prior to departure. Additional charges or refunds will be made to participants where applicable. However, no refund will be made for lodging or services, included in the price, which are not utilized during the program by the participant. We reserve the right to cancel the program, if deemed necessary for reasons including insufficient program participation and circumstances beyond ECH control, such as strikes, lockouts, riots, wars, or Acts of God. In such an event, ECH shall have no responsibility, beyond the refund of deposits and monies paid to ECH by the participants. A refund will then be made to participants, by means of a bank check.

Minimum $500 PER PERSON DEPOSIT is due with registration. The deposit enables ECH to secure arrangements for the participant. If expedition is cancelled prior to 45 days, all but project donations and the $500 deposit is refundable by check. There are no refunds less than 45 days as, travel, tour, and accommodations are prepaid and/or have cancellation fee. Payment in full is needed 45 days prior to departure (unless otherwise agreed upon).
